JOB TITLE: Assistant Shelter Manager

Status: Exempt, full-time

Pay Range: $40,500-$45,500

Reports to: Shelter Manager

MISSION: Open Doors Kalamazoo (ODK) exists to build relationships to overcome homelessness with a commitment to diversity, equity, and inclusion.

OVERVIEW: Builds relationships with the guests of Open Door & Next Door Shelters and helps them overcome homelessness; assists in all aspects of the Open Doors & Next Door Shelter programs and ensures that programs meet their goals.

MAJOR RESPONSIBILITIES AND RELATED TASKS:

  • Program Management for Shelter Guests. 
    • Ensure both shelters are staffed seven days/week, 365 days/year from 9am to 11pm. This is a full-time exempt position that will generally work 3pm-11pm on weekdays. Ability to work holidays and some weekends, as needed.
    • Assist in supervising shelter weekend staff and on-call staff.
    • Get to know each guest, build a supportive and productive relationship, and create a unique plan documenting goals and action steps to be completed throughout the duration of their stay.
    • Explain the program to people who call for information or visit for a shelter tour.
    • Conduct telephone screening with potential residents and decide which applicants to admit to the program. 
    • Conduct intakes in a private setting, give new guests a thorough tour of shelter space, and orient new guests to house rules and responsibilities. 
    • Conduct weekly house meetings, document topics covered, and provide safe space for guests to express any concerns/issues they personally are having in the house.
    • Document residents’ housing status, goals, problems, progress, and related information and keep records both secure physical and electronic file.
    • Maintain the discipline and rules of the Open Door & Next Door Shelter including but not limited to security, curfew, and chores.
    • Assist Manager to train, motivate, and coach staff on:
      • Shelter rules, guidelines, and implementation of such
      • Creation and follow-through of individual and recovery plans for each of the guests in the shelter
      • Ensure completion of the duties and responsibilities assigned to shelter staff.
    • Resolve conflicts between staff and shelter guests, if they arise.
    • Ensure both shelters are stocked with food, personal hygiene supplies, and cleaning supplies. Shop for food and supplies and create a schedule for when Managers will go shopping.
    • Work with guests on budgeting and banking including bank account set-up, tracking, ledger and more. Accurate record keeping is vital.
    • Facilitate resident chores being completed
    • Other duties as assigned.

 

  • Administration.
    • Assistant Manager in compliance with the shelter budget parameters as determined by the number of total guests in the shelter. 
    • Turn in credit statements, forms, and receipts in a timely manner.
    • Ensure staff follow agency policies and procedures.
    • Ensure all guests are entered in ServicePoint within 24 hours of entrance in the Open Doors/Next Door.
    • In partnership with the Shelter Manager, establish yearly goals and ensure that they are met or exceeded, submit quarterly reports with shelter statistics and plan of action if numbers are under target. 
    • Track and document monthly program statistics; demographics, length of stay, employment, savings, recovery, etc.
    • Participate in Shelter and ODK staff meetings.
    • In partnership with Shelter Manager, work with Co-Executive Directors to develop the annual shelter budget and goals. 
    • Support grant reporting as needed by collecting necessary information.

  • Formal or informal experience engaging with people who identify with having mental health conditions.
  • Formal or informal experience engaging with people who are part of the LGBTQIA+ community.

Benefits:  This position includes health insurance, dental insurance and vision insurance. 3% retirement match available after 6 months. It includes multiple weeks of paid time off as well as a wellness stipend up to $750 per year, and a $500 vacation stipend per year.

Status: Non-Exempt, Hourly; Range between $16 – $18 depending upon skills and experience; Full-time
Reports to: Facility Manager

● Ensure safety and total cleanup of job sites.
● Select and purchase supplies needed for assigned tasks.
● Participate and contribute to discussions during staff meetings.

Reports to: Facility Maintenance Manager

● Perform maintenance and repairs in different areas of property maintenance and
renovation, including but not limited to:
o Electrical.
o Plumbing.
o Painting.
o Drywall.
o Carpentry.
o Door hardware.
o Flooring including subfloors.
o Demolition of existing structure. Repair, replace, create new exterior decks, porches, and fences.
o HVAC troubleshooting.

o Appliance troubleshooting.
o Energy efficiency including insulation.
● Participates in developing preventative maintenance plans with the Facilities Maintenance Manager and Facilities Maintenance Director to ensure the continuity of operations.
● Proactively identifies gaps within facilities maintenance and partners with the Facilities Maintenance Manager to correct them.
● Retains appropriate records and reports.
● Uses the facilities maintenance database.
● Respond quickly in the event of an emergency, notify appropriate personal and follow safety protocol.
● Prepare vacant units for new residents in a timely manner.
● Provide guidance and direction to team members during renovations.
● Ensure highest level of safety and total cleanup of job sites.
● Select and purchase supplies needed for assigned tasks.
● Participate and contribute to discussions during staff meetings.
● Work as part of a team providing leadership and guidance to colleagues.
● Engage residents with inclusivity and strong customer service skills.
